At Bukhari Tours, we believe in transparency, professionalism, and care. Our terms and conditions are designed to protect both you as a valued traveller and us as your trusted tour provider. By booking with us, you agree to the guidelines below, which ensure your journey is smooth, fair, and in full compliance with international travel standards. Please read these terms carefully before making any bookings.

1. General Booking Policy

All bookings made with Bukhari Tours are subject to confirmation and availability. A booking is only considered valid once payment (full or deposit) has been received. Quotes are estimates and are not guaranteed until tickets are issued.

  • Non-refundable deposits: All upfront deposits are strictly non-refundable.
  • Payment deadlines: The full outstanding balance must be cleared by the due date. Failure to do so may result in automatic cancellation of your booking and forfeiture of deposits.
  • Ticket issuance: Tickets are generally issued within 48–72 hours after full payment. For urgent travel (next-day departures), tickets are issued within 12–24 hours.

2. Flights and Airlines

We act as an agent in arranging flights with global airlines. Once booked, all tickets are non-changeable and non-refundable, unless specified otherwise by the airline’s own policy.

  • Cancellations and refunds: Refunds (if applicable) depend on the airline’s rules and may take 7–8 business weeks. Administration charges apply.
  • Amendments: Any changes to bookings depend on seat availability and airline restrictions. Fare differences may apply.
  • E-tickets: All tickets are issued electronically as per airline preference. No paper tickets are provided.
  • Reconfirmation: Passengers must reconfirm their booking 72 hours before departure directly with the airline or via us.

3. Passports, Visas, and Documentation

It is your responsibility to ensure that your passport, visa, travel insurance, and all other documents are valid and correct.

  • Passport validity: Must be valid for at least 6 months from the return date of travel.
  • Visa processing: While we assist in visa applications, Bukhari Tours is not liable for embassy delays, denials, or incorrect details provided by the client.
  • Visa outcomes: If rejection occurs due to embassy rules, we refund only the application fees as per embassy policy. If rejection is due to incorrect information supplied by you, no refund will be issued.
  • Umrah conditions: Pilgrims who performed Umrah in 1438H must pay an additional SAR 2000 as per Saudi regulations.

4. Accommodation and Hotels

We carefully select hotels for your stay, but all bookings are subject to availability. In rare cases, a similar hotel may be provided.

  • Children’s policy: Two children below 6 years may share a parent’s room, but breakfast must be paid directly at the hotel.
  • Hotel issues: Any concerns about hotel facilities (room condition, housekeeping, etc.) must be addressed directly with the hotel.
  • Room allocation: Hotels reserve the right to change rooms as per operational needs.

5. Travel Insurance

Travel insurance is strongly recommended to protect against unforeseen events such as cancellations, medical emergencies, or loss of belongings. Insurance is not included in our packages and must be purchased separately.

6. Payments and Transactions

  • Credit cards: Business-to-business credit card payments incur a 2% surcharge, which is non-refundable.
  • Debit cards: Payments via debit card carry no surcharge.
  • Verification: We may request passport or card copies for security verification in case of payment disputes.

7. Liability and Responsibilities

While we make every effort to ensure smooth travel, Bukhari Tours holds no liability in cases where:

  • Boarding is denied due to missing or incorrect documents.
  • New travel rules or taxes are imposed by the Saudi government or other authorities.
  • Delays, strikes, epidemics, or airline/airport issues occur beyond our control.
  • Hotel facilities differ from promotional photos or descriptions.

Our liability is strictly limited to the services we provide.

8. Hajj and Umrah Special Conditions

Hajj and Umrah bookings follow additional rules in line with Saudi regulations:

  • Packages are non-changeable and non-refundable once confirmed.
  • Ministry guidelines (visa rules, fees, or transport changes) are binding on all travellers.
  • Government-provided transportation during Hajj is mandatory unless your package specifies private transport.
  • Passport retention by Saudi Hajj authorities is a compulsory process and applies to all pilgrims.

9. ATOL and Financial Protection

Bukhari Tours ensures your bookings are financially protected. As part of ATOL (Air Travel Organiser’s Licence) regulations, your air holiday packages include the ATOL Protection Contribution (APC). This means if a supplier or airline fails, you are covered either by an alternative arrangement or compensation from the Civil Aviation Authority.

10. Pandemic and Global Event Policy

In case of travel bans, embassy closures, or Foreign Office restrictions (such as during COVID-19), the following may apply:

  • Vouchers or rescheduled packages may be offered.
  • Refunds for flights depend on airline policies and may take longer than usual.
  • Administration and supplier charges may still apply.

11. Respect and Conduct

We expect all travellers to respect their fellow passengers and local customs during their journey. Any disruptive behavior may lead to denial of service without compensation.
